PMO Build Checklist

Checklists have been around a LONG time. Back in the 19th century, checklists were used for shipping and trade, medical procedures, railroad operations and scientific expeditions. They served the same purpose as they do today: to ensure completeness and thoroughness of whatever initiative is being undertaken. That’s why it’s important to use a checklist for starting your PMO from scratch or re-baselining an existing PMO. Why use the PMO Build Checklist?

There are a number of reasons to use the PMO Build Checklist.

Improves Organization - The PMO Build Checklist gets everyone on the same page, literally. It removes the guesswork that accompanies, “How should we start our PMO?” or “Do I have everything I need for my existing PMO?”

Less Stress - You don’t know what you don’t know and that can be stressful. A PMO checklist minimizes this stress with a clear roadmap, which, if followed, keeps your blood pressure at a healthy level.

Increases Efficiency - Following a step-by-step checklist prevents wasted and unnecessary activities from entering the picture. Working the checklist will make sure each step you take in setting up your PMO is a solid step forward.

Team Collaboration - Getting your team’s input into items on the checklist increases buy-in and team collaboration. They’ll feel important when they have a say in what the new or re-baselined PMO is going to look like.

How do you Use the PMO Build Checklist?

Follow the steps below on the best way to use the PMO Build Checklist:

  1. Scan the Entire Document - The PMO Build Checklist is only three pages long. Go ahead and scan over the entire document to make sure you see how it’s divided into “Before the PMO Build” and “Building the PMO”. This will give you an overall feel for the types of questions you need to answer, so that you can start thinking about them.
  2. Look at What You Have - Now go back down the list and answer “Yes” to any of the questions you can answer positively. For example, you may already have been granted a budget, or have a location for you and your team.
  3. Determine What You Don’t Have - On the third pass, start digging into those areas that are not currently in place. In the Notes section, comment on whether something will be needed (for example, leadership training or team building events), and then provide further guidance that can feed into an implementation plan.
  4. Come up With a Plan to Implement - You now have the beginnings of an actionable list of activities to create a project plan from, to either build out or re-baseline your PMO.  Give it the same respect and diligence as any project and start moving forward.

Benefits of Using a PMO Build Checklist

Using the PMO Build Checklist will allow you to:

  1. Track Progress - Nothing good happens overnight, and a well-functioning PMO takes time to establish. The PMO Build Checklist helps identify what needs to be done, and what progress can be communicated to upper management.
  2. Identify Gaps - Reviewing the PMO Build Checklist reveals missing items that are important for a successful PMO. This ensures that your PMO doesn’t have any holes that could cause it to crumble in the future.
  3. Enhance Productivity - The sooner you get your PMO up and running, the sooner you start creating value for your company. Remember, a project is not done for the sake of doing a project, but for increasing productivity and profitability of your organization.
